General air-cargo procurement is different from choosing an overnight parcel product. It can involve airlines, freight forwarders, consolidators, ground handlers and delivery providers. A meaningful air-freight RFP defines the shipment profile, required milestones and who controls each leg. Carrier Negotiation evaluates airport-to-airport and door-to-door offers on an equivalent basis, with actual or volumetric chargeable weight, screening, handling, routing and delivery obligations visible.
The cost structure to understand
| Component | What to establish |
|---|---|
| Chargeable weight and minimums | Confirm actual and volumetric weight, the applicable calculation, rounding and minimum charge. Do not import a parcel divisor into an air-cargo model. |
| Air service and capacity | State routing, direct or connecting service, consolidation, space assumptions, rate validity and how urgent or ad hoc capacity is priced. |
| Origin and destination work | Identify pickup, acceptance, screening, terminal handling, clearance coordination and delivery within the quoted scope. |
| Special requirements | Price temperature handling, dangerous-goods processing, security, oversized pieces, storage or other required services explicitly. |
What belongs in the bid package
- Origin/destination airports and actual pickup/delivery addresses
- Piece-level weights and dimensions, commodity and packaging
- Required arrival milestone and consequence of delay
- Ready times, acceptance cutoffs, handling and document readiness
- Recurring shipment profile versus genuinely urgent movements
- Current quotes/invoices and the contracting party for every leg
A practical sourcing sequence
Define urgency accurately
Separate production-critical movements from routine air shipments. Identify the milestone that the selected product must meet.
Specify the complete service
Give providers the same piece profile, scope, handling obligations and timing. Ask who accepts, screens, carries, clears and delivers.
Compare equivalent routes
Normalize chargeable weight, minimums, charges and validity. Examine uplift, connections and final-delivery arrangements rather than a rate per kilogram alone.
Control the execution
Document booking, readiness, exception escalation and delivery evidence. Compare actual invoices and milestone performance with the accepted proposal.
The cheapest kilogram can buy the wrong outcome
A low airport rate can exclude the pickup, handling or final-delivery service needed to protect production. Conversely, routinely purchasing the fastest product can hide an opportunity to use an eligible deferred service. Keep urgency, provider obligations and the full shipment charge together when evaluating alternatives.
Questions & answers
#Is air freight the same as express parcel?
An integrated express parcel product and a general air-cargo consignment are different service purchases. Parcel uses package-service rules and network commitments. General cargo may be sold airport-to-airport or through a forwarder arranging multiple parties and legs. Compare dimensions, acceptance, documentation, handling, chargeable weight and delivery scope. A parcel service name or package dimensional divisor should not be transferred directly into an air-cargo RFP.
#What is chargeable weight in air-cargo pricing?
Air-cargo charges can be based on actual weight or a volumetric calculation under the applicable rules, subject to minimums and other provisions. Confirm the formula, units, rounding and piece dimensions with the provider. The useful comparison applies each proposal to the same cargo and included services. A quoted kilogram rate without those assumptions does not establish the shipment’s final charge.
#Should an air-freight RFP go to airlines or forwarders?
That depends on the shipper’s volume, operating capability, trade lanes and required service. A forwarder may arrange pickup, consolidation, air carriage and delivery, while a direct airline offer may have narrower scope. Identify the actual contracting party, responsibilities, handling and exception process. Normalize the proposals before choosing. Commercial consulting support is distinct from acting as the airline, freight forwarder or customs broker.
#Can a shipper negotiate air freight without delaying urgent cargo?
Separate the urgent movement from the longer-term procurement project. Obtain workable live options for the immediate need using exact readiness, cargo and milestone information. Use recurring shipment data to source the future program, with defined spot or expedited escalation. A formal RFP should not become a reason to miss a critical shipment; a one-time emergency quote should not silently become the permanent pricing strategy.
#What should an air-freight service commitment specify?
Define the relevant milestone, such as uplift, airport availability or delivery to the consignee, and state what the provider is actually promising. Include booking acceptance, cutoffs, document readiness, connections, handling, delivery appointments and exceptions. A transit estimate is different from a contractual commitment. Evaluate the remedy and escalation process where offered, and include the work needed after the aircraft lands.
#How can manufacturers reduce unnecessary air-freight cost?
Identify why each shipment used air: production recovery, customer commitment, replenishment, planning exception or habit. Model feasible service tiers and routing alternatives for each segment. Keep inventory, damage, labor and disruption consequences visible. Procurement should preserve legitimate urgent service while addressing recurring causes of premium freight. Verify the change through actual shipments instead of assuming that every slower service is operationally acceptable.
